Executive Administrator 

Location: DFW area

Reports To: VP of Operations
Type: Full-time, salaried
Compensation: $50,000 – $85,000 annually
Travel: Frequent domestic and occasional international

Overview

Lance Wallnau Ministries is a fast-moving, faith-driven organization shaping conversations in culture, leadership, and the Church. We’re looking for an Executive Administrator who can keep pace, someone sharp, unflappable, and ready to travel to make sure every engagement runs seamlessly.

This isn’t a “clock-in/clock-out” desk job. It’s a front-line role for a steady-handed professional who can coordinate moving parts, keep the team aligned, and bring order to a schedule that sometimes changes by the minute. You’ll be trusted with sensitive information, high-level relationships, and mission-critical details.

What You’ll Do

Administrative & Executive Support

  • Manage email, calendar, and day-to-day logistics with precision and discretion.
  • Provide daily briefings and text reminders of meetings, calls, and priorities.
  • Prepare and edit correspondence, documents, and internal reports.
  • Anticipate needs, act before requests are made.
  • Office Managment 

Event Coordination & Travel Management

  • Facilitate event request process within 48 hours and maintain detailed event checklist.
  • Arrange all travel (flights, cars, hotels) and accompany team.
  • Enter complete travel details into shared calendars, including:
  • Maintain calendar accuracy, every public event within 90 days must be added online.
  • Track and reconcile event expenses monthly (flights, lodging, rentals, meals, sundries).

Customer Support & Communication

  • Respond to all assigned support tickets within 24 hours
  • Monitor comments on partner sites and reply or escalate as needed.
  • Serve as a bridge between partners, customers, and internal departments.

Office Management

  • Oversee daily office operations and supplies: maintaining a clean, organized, and professional environment.
  • Coordinate vendor relationships (IT, equipment, shipping, maintenance, etc.).
  • Manage incoming mail, product shipments, and printed materials for events and promotions.
  • Ensure all administrative systems (phones, filing, digital drives, subscriptions) are up to date and functioning efficiently.
  • Maintain equipment inventory and assist with technology setup for staff and events.

Operations Support

  • Coordinate board, partner, and executive meetings, sometimes across multiple time zones.
  • Manage logistics for retreats, speaking engagements, and ministry tours.
  • Keep morale high and communication clear among a diverse group of pastors, producers, artists, business owners, and staff.
  • When the schedule shifts (and it will), keep things moving calmly and professionally.

Qualifications

  • 3–5 years of executive assistant or operations experience in a fast-paced environment.
  • Exceptional organizational and communication skills.
  • Strong technical proficiency (Google Workspace, CRMs, spreadsheets, event software).
  • High integrity and discretion with confidential information.
  • Flexible schedule—willingness to travel, work early mornings or late nights as needed.
  • Bachelor’s Degree preferred, or equivalent relevant experience.
  • A sense of humor and composure under pressure are essential.

Work Environment

  • Must be DFW-based or willing to relocate for in-person coordination.
  • Regular travel with leadership to ministry events, partner gatherings, and broadcasts.
  • Occasional nights and weekends tied to event or broadcast schedules.
